The whole voting & judging process explained below.

The Whole Process explained below

We have detailed below the whole process and a step-by-step process of The Wedding Business Awards. It’s a lot of important information however we hope this helps you understand every process. If you have any questions please don’t hesitate to contact us.

The Overall Process

Entries will open at Entries & Voting will open at 3rd January 2020 and will close at March 13th 2020.

Once entries have been closed, business profiles will be collected along with their votes from their previous clients. The voting scores will be calculated and an average score will be given the entrant. (Please see below to find out how the average score is worked out)

The Voting Process

When the entrants are logged in, each business entered will be able to send out a voting form to a maximum of 20 previous clients.

A maximum total of 20 votes are allowed. To do this, they will enter the names and email addresses of each previous client which will be logged into the system.

On completion of this form, the system will automatically send voting forms and a covering email to each of their previous clients.

Once the emails have been successfully sent the status of each previous client will change to ‘Voting Form Sent’. In the event an email is invalid or the sending of an email is unsuccessful, the business will be prompted to correct the email or enter new details.

When judging commences, Judges, at any given time, will have permission to contact any of the previous clients to verify that they have legitimately provided a wedding service for them. It is their responsibility as the entrant to gain permission from their clients if they can use their details to be sent a voter form from our system. The system will send the client a voter form to vote for the entrant. The voting form will also state if the client doesn’t want to be contacted by a judge to confirm entry, they can decline the vote.

Voting

Each voter will receive an email with a covering letter and a personalised link to click to vote.

They will be prompted to click the link and fill out the form to vote for that particular business. There is also the ability for the voter to decline the vote.

The voting form comprises of series of questions, each requesting a score and a detailed answer.

Once the voter has completed the form, the information will be saved in the system and the status of this previous customer will change to ‘Voted’

A mechanism for a voter to decline to fill out the form is in place, which will notify you (the business/entrant) to enter details for another past customer. This mechanism will also kick in if a certain time period elapses (14 days) and the voter does not vote.

Anyone found submitting fake votes by the judging panel, will have their business removed from the awards with immediate effect and banned from entering any future awards. Registration fee will not be reimbursed.

A minimum of 3 and a maximum of 20 votes must be received for the entrants scores to be used and calculated to progress to the next stage. Anyone who received 3 or less votes will be removed from the competition.

The votes & scores is what is used to work out the average score and decided whether that the business has reached the next stage and become a regional finalist.

Any business who doesn’t reach our Regional Finals will receive feedback in the following format:

      1. Summary Page – Detailing a summary of their scores.
      2. Individual Voting Forms – A copy of the voting form submitted by each previous client along with their scores.
      3. Entrants who are regional finalists will not receive any feedback until all the regional events have taken place.

Once regional events have concluded any regional finalists that didn’t become a regional winner will receive feedback in the following format

      1. Summary Page – Detailing a summary of their scores
      2. Individual Voting Forms – A copy of the voting forms & scores submitted by each previous client
      3. Judges’ Comments – A section detailing the scores and feedback from the judges in their category. The judges ID will be removed from the feedback. The format will state: Judge 1, Judge 2 and so on.
      4. Certificates and budges will be available to download.

Finally, after the National Event has concluded, all National Finalists & National Winners will receive feedback in the following format:

      1. Summary Page – Detailing a summary of their scores
      2. Individual Voting Forms – A copy of the voting forms & scores submitted by each previous client

      4. Certificates and badges will be available to download.

No votes will be viewed by our judging panel if they are outside the last 12 months from when entries opened. (3rd January 2020) Any votes from wedding beyond 3rd January 2019, will not be counted and removed from the system.

How are the Regional Finalists selected?

All businesses have 10 weeks to enter and complete their entry profile.

During this time, the entrant will complete their profile, upload all supporting documentation request votes from within their profile and upload images & videos to enhance their profile

On the entrant’s profile, the business can request a maximum of 20 votes from their previous couples. These votes can also be used as part of the judging process.

Any business that has less than 3 votes from previous clients will not be proceed to the next stage and will be removed from the competition.

Regional finalist will be decided solely on the voters scores. The score is worked out as an average based on the total scored and the number of votes. This gives everyone entering a level playing ground. It doesn’t matter if you receive the maximum of 20 votes or 3 votes.

If an entrant doesn’t receive the required 3 votes, they are no longer in the competition.

Please see an example of the voting scoring below.

EXAMPLE SCORES:

Combined total of Client Voters Score: 48 out of 70

Total Number of Votes: 7

48 / 7 = 6.857 average score

Combined total of Client Voters Score: 66 out of 70

Total number of Votes: 7

66 / 7 = 9.4285

There is a maximum number of votes you can receive from previous clients; 20. Why only 20? 20 votes give us a clear indication from the scores and comments of the level of feedback that is received. The scores can be calculated and an average score given. Having a limit of 20 gives all entrants a level playing ground.

Having the highest average score from the votes, doesn’t mean that they will become a winner. If the entrant reaches the benchmark score, it means they are worthy of becoming a regional finalist.

If entrants fail to reach the benchmark score, they are no longer in the competition. They will still receive the voters scores and comments but will not receive any feedback from the judging panel, as their profile, will not be shown to the judges.

Once finalists are announced the judges will then conduct the judging. It is here where the regional winners will be chosen.

How are the Regional Winners selected?

Now the regional finalists have been announced, the judges get to work. It is the judge’s decision to decide who the regional winner is in each category. By entering The Wedding Business Awards, you are allowing all judges to judge every aspect of your business, such as: website, social media, documentation that is uploaded, ‘’mystery shopping’’, images and videos uploaded and any means they see fit.

The judges will provide detailed written feedback for the Regional finalist. They will provide positive feedback and also constructive criticism. (if applicable) This provides valuable feedback for the entrant to take away and to improve their business.

The judges will then submit an overall score for each finalist entrant between 1-10. The higher the score, the better chance the entrant has of winning.

Once all judges have submitted their scores and comments for all regional finalists. The finalist with the highest accumulated score from all the judges in their category is the regional winner.

No judge will know anyone else’s comments or scores. This is strictly confidential until the awards have completed.

In the event of a tie, the winner will then be decided by who has the greatest number of ‘10s or ‘9s’ during the scoring process.
